If you are an agency or agent representative new to the ÃÛÑ¿´«Ã½ (including agencies that require each agent rep to have access to different freelancers), your first step is to have an Agent Record set up in our system. Your client must inform their booker/ÃÛÑ¿´«Ã½ contact as soon as possible, as you need to be set up in our system before any bookings can be made.
Your Agent Record will be linked to your email address. Please ensure this is a specific individual email address (e.g., joe.bloggs@talent.com) rather than a generic one (e.g., accounts@talent.com). Your Agent Record will contain all your information, such as the bank details for payments and the email address for contracts.
When setting up, it is important to determine whether you should be set up as a Main Rep or a Sub Rep.
What is an Agent Rep?
- Agency: The overall agency company.
- Main Agent Rep: The individual at the agency who directly represents freelancers. This person will be our main contact and will receive contracts, remittances, and general communications. Their name will appear at the end of the agency name in SmartBook to ensure our bookers select the correct agent code, especially for agencies with Agent Reps accessing different freelancers.
- Substitute Agent Rep: An individual at the agency who assists the Main Agent Rep in representing freelancers. They can see the same freelancers as the Main Agent Rep but will not receive contract or remittance information.
Agent Record Set Up
The process for setting up an Agent Rep is outlined below. Please note that each agent rep (including substitute agent reps) must complete steps 4 to 9 to set up their individual FPP logins.
- Complete the Agent Set Up form to confirm the details (address, bank details, etc.) for your Agent Rep Record.
- Submit the form for processing.
- The team will set up your Agent Rep record and generate an Agent Rep personal number. Your user ID to log into FPP will be your email address.
- You will receive an activation email from , sent to the provided email addresses for each Agent Rep.
- Locate the ‘click here to activate your account’ button in the activation email.
- You will be taken to ÃÛÑ¿´«Ã½ Connect and asked to select an authentication method.
- Enter the code received via email and click continue.
- Set a password for ÃÛÑ¿´«Ã½ Connect, which will be your password for FPP.
- On the account successfully activated page, click continue.
- On the legal disclaimers page, tick to confirm that you have read and understood the T&Cs, then click the ‘Accept’ button.
- You can then log in to your Agent Rep account on the Freelance Payment Portal using the password and multifactor authentication selected during your ÃÛÑ¿´«Ã½ Connect setup.
- Your client’s booking will be raised by their booker and linked to your Agent Rep record. They will then appear in your Agent Rep account in the ‘Manage Freelancers bookings’ tile on the Freelance Payment Portal, allowing you to accept/claim bookings once you have selected the freelancer in this tile.
FAQ's
If a freelancer has left their Agency, they will need to notify their booker as soon as possible. They will need to request that ÃÛÑ¿´«Ã½HR de-link them from the Agency via the Agent Delink form before they raise any new bookings. This will ensure that the Freelancer is able to set up / access their individual FPP account and update their bank details.
Failure to do this may result in payment being made to the old Agency.
Any updates to your agency/Agent Rep Record must be requested via the Agent Change form, and you must also confirm your Main Agent Rep Personal Number (this number will have been provided to your main agent rep when their Agent Rep record was first set up).
This includes changes to office address, bank account or agency name.
If the Agent Reps within your agency has changed / left your agency, please fill in the Agent Rep update form to let us know to delete their record.
Please note if we are not informed of agent rep changes the agent rep will be unable to; contact payroll via email, access PAYE payslips or log into their own account in FPP.
If the booking that links you to the freelancer is future dated you will not be able to see the freelancer in FPP until the start date of that booking.
If you are replacing an existing Agent Rep and you cannot see the freelancers they represented please contact us providing the name of the Agent Rep you are replacing so we can ensure your access has been set up correctly.
If you are a new Substitute Agent Rep and you cannot see the freelancers for the Main Agent Rep you are a substitute for please contact us providing the name of the Main Agent rep so we can ensure you have been set up correctly as their substitute.
If all Freelancers linked to your Agent record have not been engaged for a year, your Agent record will be closed on our system, and you will lose access to the Freelance Payment Portal.
