As part of a broader piece of work to improve the experience for our PAYE freelancers, we are changing the frequency for when they are paid.

From Friday 10th October, any PAYE freelancers will be paid via a weekly payroll.

The new weekly payroll offers several benefits including:

  • Reducing payment delays for completed work
  • Enhancing our ability to attract top talent
  • Reducing compliance and legislative risks

What does this mean for you?

As a , the payment amounts shown on your contract and the Freelance Payment Portal (the ÃÛÑ¿´«Ã½'s system that you use to manage your details and accept / claim your bookings) are the Gross amounts of your payments (i.e. before any deductions). You will receive the net amount which will be subject to the below deductions:

  • Tax
  • National Insurance
  • Pension Contributions (if applicable)
  • Student Loan Deductions (if applicable)

These are reflected on your payslips, which you can access .

Transition arrangements – moving to weekly payroll

The payroll change will mean that any payments that are automatically claimed on the FPP by each Friday 6pm (subject to you accepting your booking) will be paid to you the following Friday.

As we move from monthly to weekly pay, it is important that you accept any bookings promptly and before the deadlines listed below. This will help to ensure any deductions - including tax, National Insurance, and student loan deductions stay accurate.

September additional payment and deductions

As part of the transition arrangements as we move from a monthly to weekly payroll, an additional payment was made on Tuesday 30 September for bookings from 4 September to 23 September. This was to ensure these payments were made within a monthly pay period rather than within a weekly pay period. Payments for bookings from 24 September onwards will be paid in the weekly payroll starting 10 October.

Deductions such as Tax, National Insurance, and Student Loan repayments are calculated based on your earnings in each pay period. If you received more pay in September than normal, this may have resulted in your deductions also increasing in accordance with the additional income received.

Your annual tax liability is calculated based on your total earnings over the tax year. If you are on a cumulative tax code, the amount of tax you have paid in the year to date will be recalculated in each pay period, and any increases in deductions will average out as you accrue more weeks of allowances. If you are on a week1/month1 tax code, you may need to wait until the end of the tax year for HMRC to assess your total taxable earnings against the tax you have paid to establish if you are entitled to a refund. If you think you have paid too much Student Loan, you can contact the Student Loan company at the end of the tax year to find out if you are eligible for a refund.

Payslips: PAYE freelancers will continue to have access to their payslips, which can be accessed in the same way as before via the  .

What do the payroll changes mean?

It’s important to accept your booking promptly, accept your bookings on time for your payments to be made weekly and check your regularly.

As we transition from monthly to weekly pay periods, to limit the impact on Tax, NICs, Nest Pension and Student Loan deductions, we have planned to stagger payments in order to avoid having payments for lots of weeks processed against a single weekly pay period. In September, we will run two payment runs for PAYE freelancers

  • The main Payroll on 15/09
  • The Supplementary Pay Run on 30/09

What do I need to do to get paid?

Your payments will be automatically claimed and included in the weekly payroll as long as:

  • You have accepted the booking in the prior to every Friday 6pm.
  • A valid   is held on file for you
  • You have entered your up to date bank details on the Freelance Payment Portal.

Please ensure that you accept your booking on the portal within one working day of receiving your booking confirmation email to avoid any delays to your payments. If your booking is accepted after Friday 6pm your payment will be made in the following Friday’s payroll (2 weeks).

Once you have accepted your terms and conditions, your bookings will move to the booking to claim tile. You will not be able to select these payments lines as the system will automatically claim them on the date scheduled by your ÃÛÑ¿´«Ã½ contact. When the claim date approaches the payment line will move to the claim history tab, which will indicate it has been claimed. You can download an invoice which reflects the gross amount. The invoice will not show the net amount to be paid, you can view the breakdown of your payment via your payslip via .
