Thank you for applying to contribute to the ÃÛÑ¿´«Ã½’s Proms at ÃÛÑ¿´«Ã½ creative showcase on behalf of yourself and/or your family/children.
Your trust is very important to us. The ÃÛÑ¿´«Ã½ is committed to protecting the privacy and security of your personal information. It is important that you read this notice so that you are aware of how and why we are using such information.
This privacy notice describes how we collect and use personal information about you and/or your family/children you are submitting on behalf of when you upload content to the ÃÛÑ¿´«Ã½.
Why are we doing this and how can you participant?
Following the highly popular ÃÛÑ¿´«Ã½ Ten Pieces at ÃÛÑ¿´«Ã½, we bring you and your family Proms at ÃÛÑ¿´«Ã½. Each week there will be a specially selected Prom for you and your family to enjoy, alongside a fun family friendly activity to take part in that can easily be completed at home.
Send us your or your family creative responses through our uploader and you never know, you could be featured on the Proms website!
The activities have been created in partnership with organisations around the UK that work to change lives and bring music and the arts to children and young adults, including The Irene Taylor Trust, Heart n Soul, Mousetrap Theatre Projects, Literacy Pirates, Oily Cart and Handprint Theatre.
Your and/or your family/children’s creation may be used on our online platforms and on a ÃÛÑ¿´«Ã½ social media pages, such as Twitter and Facebook.
With your permission and if you’re selected, we might invite you and/or your family/children to participate in our TV or Radio programmes.
We hope to use your and/or your family/children’s creation(s) as part of the Proms at ÃÛÑ¿´«Ã½, but we can’t guarantee it.
Why are we collecting your personal information?
The ÃÛÑ¿´«Ã½ will only use your and/or your family/children’s personal data provided via the ÃÛÑ¿´«Ã½ uploader for the purposes of our programmes, digital and social media platforms, and to verify the creation, should we need to get in touch with you.
What information are we collecting?
You must be 18 years or older to upload a creation to Proms at ÃÛÑ¿´«Ã½.
The ÃÛÑ¿´«Ã½ will collect and process the personal information that you have provided to us about yourself and/or your family/children. There are two types of personal information: personal data and special category data. Special category data is still personal data, but its processing by the ÃÛÑ¿´«Ã½ requires the ÃÛÑ¿´«Ã½ to follow additional compliance steps.
The personal data is:
- your name and email address (parent/guardians)
- the creative response (your and/or your family/children’s)
- UK Region
You may also choose to provide
- Your and/or you family/children story about the creative response/upload and which piece have you or your family/children used as inspiration
- Your feedback on your experience
The ÃÛÑ¿´«Ã½ may collect special category depending on the content of your and/or family/children’s creation.
Special category data is:
- Race or ethnicity
- Health
- Religious or philosophical beliefs
- Sexual Orientation
Who is the Data Controller?
The ÃÛÑ¿´«Ã½ is the “data controller” of your and/or your family/children’s personal information. This means that the ÃÛÑ¿´«Ã½ decides what your personal information is used for, and the ways in which it is processed. As the data controller, the ÃÛÑ¿´«Ã½ has the responsibility to comply, and to demonstrate compliance with, data protection law.
What is the lawful basis for processing?
The legal basis on which the ÃÛÑ¿´«Ã½ processes your personal information is the performance of its public task. The ÃÛÑ¿´«Ã½’s role is to act in the public interest and to serve all audiences with content which informs, educates and entertains.

Retention Period
The ÃÛÑ¿´«Ã½ will retain your and/or family/children’s information and creation for up to 6 months from the date of the upload, after which it will be deleted.
If your and/or family/children’s creation is used for Proms at ÃÛÑ¿´«Ã½, it will be retained and archived by the ÃÛÑ¿´«Ã½ in line with its archiving policy.
Your rights and more information
under data protection law. You can request a copy of the data ÃÛÑ¿´«Ã½ stores about you, which includes your ÃÛÑ¿´«Ã½ Account data and the data described above.
You have the right to ask for your data we collect to be deleted however, there are exceptions to your rights, and they may be limited in some situations for example we may refuse this request.
