Thank you for applying to the ÃÛÑ¿´«Ã½’s Make a Difference Superstars Awards 2020.

Your trust is very important to us. The ÃÛÑ¿´«Ã½ is committed to protecting the privacy and security of your personal information and the personal information of the person you nominate. It is important that you read this notice so that you are aware of how and why we are using such information. This privacy notice describes how we collect and use personal information about you and the person you nominate during and after your relationship with us, in accordance with data protection law.

Why are we collecting personal information?

The ÃÛÑ¿´«Ã½ production team will collect your personal information and the personal information of the person you nominate for the purposes of administrating the ÃÛÑ¿´«Ã½’s Make a Difference Superstars Awards 2020.

What information are we collecting?

The ÃÛÑ¿´«Ã½ will collect and process the personal information that you have provided to us about yourself and the person you have nominated. There are two types of personal information: personal data and special category data. Special category data is still personal data, but its processing by the ÃÛÑ¿´«Ã½ requires the ÃÛÑ¿´«Ã½ to follow additional compliance steps.

The personal data is:

  • Your name
  • The name of your nominee
  • Video recording
  • Photograph(s)
  • Mobile number or landline number
  • Email address
  • Gender

It is possible the ÃÛÑ¿´«Ã½ will also collect and process special category data depending on the content of your contribution.

The special category data is:

  • Race or Ethnicity
  • Religious or philosophical beliefs
  • Health, sex life or sexual orientation

Where applicants are under the age of 18, we will also ask for the name, mobile or landline number and email address of a parent/guardian to ensure they are aware of your entry.

Who is the Data Controller?

The ÃÛÑ¿´«Ã½ is the “data controller” of your personal information and the nominee’s personal information. This means that the ÃÛÑ¿´«Ã½ decides what your personal information is used for, and the ways in which it is processed. For the avoidance of any doubt, personal information will be collected and processed solely for the purposes set out in this privacy notice. As the data controller, the ÃÛÑ¿´«Ã½ has the responsibility to comply, and to demonstrate compliance with, data protection law.

What is the lawful basis for processing?

The legal basis on which the ÃÛÑ¿´«Ã½ processes your personal information is the performance of its public task. The ÃÛÑ¿´«Ã½’s role is to act in the public interest and to serve all audiences with content which informs, educates and entertains.

The ÃÛÑ¿´«Ã½ processes your special category data (if applicable) on the lawful basis that processing relates to personal data which is manifestly made public by the data subject.

Do we share your personal information with Third Parties?

The ÃÛÑ¿´«Ã½ will share your personal information with a panel of judges comprised of
of both ÃÛÑ¿´«Ã½ staff members and one individual from the community in the respective ÃÛÑ¿´«Ã½ local Radio broadcast area.

Retention Period

The ÃÛÑ¿´«Ã½ will retain your personal information and the personal information of the person you nominate for 6 months after the application deadline has passed for administrative purposes. The personal information of the winners will be retained for 2 years for regulatory purposes.

Your Rights and how to contact us

Terms and Conditions

  1. In order to nominate someone, you must be a UK resident (including Channel Islands and the Isle of Man) and not be a ÃÛÑ¿´«Ã½ or ÃÛÑ¿´«Ã½ Group company employee, employee of any of its affiliates, close relative of any such employees or connected to these awards directly or through a close relative.

  2. Any person who is a resident or travels on a typically daily basis (which does not need to include weekends or bank holidays) in one of the local ÃÛÑ¿´«Ã½ radio broadcast regions listed below is eligible to be nominated, except ÃÛÑ¿´«Ã½ or ÃÛÑ¿´«Ã½ Group company employees, employees of any of its affiliates, close relatives of any such employees or anyone connected to these awards directly or through a close relative. Proof of age, identity and eligibility may be requested.

The ÃÛÑ¿´«Ã½ Local Radio stations participating are:

  • ÃÛÑ¿´«Ã½ Radio Berkshire
  • ÃÛÑ¿´«Ã½ Radio Bristol
  • ÃÛÑ¿´«Ã½ Radio Cornwall
  • ÃÛÑ¿´«Ã½ Radio Devon
  • ÃÛÑ¿´«Ã½ Radio Gloucester
  • ÃÛÑ¿´«Ã½ Hereford & Worcestershire
  • ÃÛÑ¿´«Ã½ Radio Oxford
  • ÃÛÑ¿´«Ã½ Radio Somerset
  • ÃÛÑ¿´«Ã½ Radio Wiltshire

Nominations can be made by emailing a completed nomination form to the relevant email address listed here. Please provide as much information as possible to ensure the nomination can be judged but be mindful of the content of the nomination form, minimising any special category personal data (for example health information).

Please note that all nominations, must be received no later than midnight at 30 August 2020. Any nominations received after this will not be accepted. Please be aware that sending personal data by email may not be secure as email messages can be intercepted.

  1. You will be required to provide evidence of your nominee's (or his/her parent or guardian where applicable) permission in case your nominee is selected. You may also be required to provide contact details for a referee who can confirm the facts in your nomination. For nominee’s under the age of 18 at the point of nomination, you will be asked for their parent or guardian’s contact information.

  2. The ÃÛÑ¿´«Ã½ team may contact the nominator, the nominee (his/her parent or guardian, where applicable) or the referee to verify facts and/or events and whether the relevant consents have been obtained. This should not be interpreted as anything other than an information gathering exercise.

  3. A panel formed of several people relevant to that station’s broadcast area (normally two radio staff and a third external judge) will select two (2) winners (and two (2) additional ranked back-ups) per local ÃÛÑ¿´«Ã½ radio station. The ranked back-ups will only be used of for any reason one or both of the winners are excluded or found ineligible for any reason. The nominations will be judged against the criteria of impact on the community, effort and the inspirational power of the story on others.

  4. Normally, the winners will be expected to be present at the naming ceremonies as advised by the Production Team when notifying each winner. However this awards competition will be run in accordance with prevailing local authority and government advice and if required this may be a virtual ceremonies.

  5. The ÃÛÑ¿´«Ã½'s decision as to the winners and back-ups is final. No correspondence relating to the awards will be entered.

  6. The prize will consist of the opportunity of having a GWR train given your name. There will be two prize opportunities offered via each participating local ÃÛÑ¿´«Ã½ radio station. No commercial gain can be made from using or referencing the ÃÛÑ¿´«Ã½ brand, the award itself or any other element of this awards process.

10. The ÃÛÑ¿´«Ã½ reserves the right to: (i) vary these terms, including but not limited to, opening and close times of the awards nominations, the ÃÛÑ¿´«Ã½ Local Radio stations participating and the judges involved; (ii) disqualify any nomination that breaches the rules or is fraudulent in any way or brings the ÃÛÑ¿´«Ã½ or GWR into disrepute; and (iii) modify or cancel the awards, at any stage, if in its opinion it is deemed necessary or if circumstances arise outside its control.

11. The ÃÛÑ¿´«Ã½, GWR, their sub-contractors, subsidiaries and/or agencies cannot accept any responsibility whatsoever for any technical failure, postal strike or delivery issue, loss of data via use of a third party email platform or malfunction or any other problem which may result in any nomination not being properly registered.

12. To the extent permitted by law, the ÃÛÑ¿´«Ã½ will not be liable for any loss or damage (whether such damage or losses were foreseen, foreseeable, known or otherwise) including financial, reputational loss or disappointment.

13. The promoter of the awards is the British Broadcasting Corporation and these terms and conditions are subject to the laws of England and Wales.
